Morning prep checklist
The daily routine to run before the morning wave — sync your data, finalize the schedule and load out, and message your drivers.
Run through this checklist before your drivers arrive. Doing it in order gets your roster, fleet, schedule, routes, vans, and devices all up to date and ready for load out.
1. Update your employees and vehicles
Start by pulling the latest roster and fleet so any newly added, inactive, or terminated employees and vehicles are current. Open the extension’s side panel, then:
- Employees tab → click Sync Employees. New employees are created; existing ones (matched by Transporter ID) are updated.
- Vehicles tab → click Sync Vehicles. New vehicles are created; existing ones (matched by Vehicle ID) are updated.
2. Sync the schedule and routes
In the extension, open the Schedule tab, pick the Date you’re prepping (it syncs one day at a time), and click Sync Schedule.
This pulls the day’s schedule and route assignments into your Scheduler. Existing shifts are updated without losing manual data you’ve already set (vans, routes, punches), and past dates are left untouched. When it finishes you’ll see how many shifts were Created, Updated, and how many Routes were assigned.
Once synced, the shifts appear in your Scheduler, and each driver sees their open shift on their end in the mobile app, where they confirm it.
3. Assign any unassigned routes
Some routes may still have no driver. To review and fix them, switch to the Load Out view:
- Open Schedule from the top header menu.
- In the top bar, use the Week / Day / Load Out view switcher and click Load Out (the rightmost option). Load Out shows the day you’ve selected.
In Load Out, the Unassigned Routes tile shows how many routes have no driver. To assign one, use the Route ID column on the driver’s row — click + Add route and type the route code. To move a route from one driver to another, use the swap (↔) control next to an assigned route.
4. Import your waves and staging locations
Still in the Load Out view, click Import Load Out to open the Import Wave & Staging dialog. You can either Paste your data or Upload File (.xlsx, .xls, .csv, or .tsv).
The sheet recognizes these columns: DSP, Route Code, Service Type, Wave, Staging Location, Van Id, Device Name — so a single import can set wave times, staging locations, vans, and devices per route at once. Click Preview to review, then Apply. Any new wave times or staging locations are created automatically.
5. Assign a van to each DA
So every driver loads out to the right vehicle, assign their van in the Load Out table:
- Use the Vehicle column → + Assign and pick the van from the dropdown (it lists eligible vans that have a VIN on file).
You can also set vans in bulk using the Van Id column in the Import Wave & Staging sheet (step 4).
6. Assign devices
To keep a record of which device each driver is carrying, use the Devices column in the same Load Out table:
- Click + Assign and select the device(s) from the multi-select list.
Devices can also be bulk-set via the Device Name column in the import sheet.
7. Post a morning announcement
Send your drivers the day’s message:
- Go to Administration → Announcements.
- On the Messages tab, click New Message.
- Fill in the Title and Message Body, choose a Frequency (One-time, Daily, or Weekly), set the Status to Active, and click Create Message.
The announcement goes to all drivers at the selected station.
8. Send a driver a chat template
To share a specific template with an individual driver:
- Open Chat and click the driver.
- To the left of the message box, click the template button (the document icon).
- Pick the template you want — it drops into the message box, automatically filled in with that driver’s details — then press Send.
You can create and manage your templates at Chat → Templates.
